Conference AV & Technical Production in Ireland

Creative Technology provides AV and technical production for conferences across Dublin, Cork and throughout Ireland.

Some briefs are straightforward: one room, a stage, presentations, microphones and an experienced technician in the room. Others involve plenary and breakout spaces, cameras, live feeds, remote speakers, content and a much larger team behind the scenes.

We work across both.

Depending on the event, that might mean providing one part of the setup or taking care of the wider technical production across audio, video, lighting, cameras, content and show control.

We also work directly with event agencies, venues and in-house teams, so the level of support can be built around what is already in place.

What we can support

Conference production is not only about the equipment in the room. A big part of our job is helping clients work through what they need, what will work in the venue and how the technical side fits around the programme.

Some clients come to us with a detailed technical brief. Others come with a date, a venue and a running order. We are more than comfortable with both.

And if something changes at the last minute, as it often does, there is a team there who already understands the event and can help work through it.

Planning & technical advice

Working through the brief, programme, rooms, audience numbers and speaker requirements to build the right technical approach for the event.

Audio, screens & lighting

Microphones, PA, LED, projection, supporting displays, confidence monitors and lighting across plenary and breakout spaces.

Presentations & speaker support

Managing presentation files, last-minute changes, rehearsals, confidence monitors and the technical details presenters should not have to worry about when they walk on stage.

Cameras, recording & streaming

Live camera feeds, multi-camera coverage, recording, streaming and support for remote audiences.

Remote speakers & hybrid sessions

Bringing presenters and panellists into the room remotely and managing the technical side around them.

Creative content

Opening films, motion graphics, speaker content, stings, holding screens and other assets developed for the screens and stage setup being used.

Technical direction & show control

Managing cues, playback, cameras, screens, audio and the wider technical running of the programme.

Plenary & breakout rooms

Coordinating the AV across the main stage, workshops, breakout sessions and smaller meeting spaces.

Rehearsals & on-the-day support

Helping speakers get comfortable, responding to programme changes and dealing with the things that inevitably move once an event is live.

Event capture

Interviews, highlights and additional footage for internal communications, social content and post-event use.

On-site technical crew

Experienced technicians, engineers and project teams there throughout the event, not just during setup.

Conference production starts with the programme

The first questions are usually practical ones.

How many people are attending? How many rooms are in use? How many speakers are presenting? Are delegates moving into breakout sessions? Is anyone joining remotely? Does the event need to be recorded or streamed?

Those answers shape the technical setup far more than the size of the company running the event.

A 100-person leadership conference may only use one room, but presentations, speaker support and audio still need to work properly. A larger multi-day conference may involve several spaces, cameras, content and a much bigger technical team.

The approach changes with the brief.

Working with agencies, venues and in-house teams

Creative Technology works directly with businesses as well as event agencies, professional conference organisers, venues and internal marketing, communications and event teams.

Sometimes we provide one specialist part of the production. On other events, our team takes responsibility for the wider technical delivery.

Where a venue already has AV infrastructure in place, we can work with what is there and add what the conference needs.

That makes it easier for agencies and in-house teams to bring us into the parts of the project where technical support is needed without changing the wider event structure around them.

An experienced team behind the event

Creative Technology has teams in Dublin and Cork and has been working in the Irish market for nearly 60 years.

Our Live Events team works closely with in-house Creative Services, giving clients access to technical production, content and event capture within the same wider team.

Most conference requirements can be handled locally, with access to the wider Creative Technology network where a project needs additional specialist equipment, people or expertise.

Plenary and breakout rooms

When a conference runs across multiple spaces, each room usually has a different job to do.

The main plenary might need LED or projection, cameras, lighting, confidence monitors and a larger audio system. A breakout space may only need a display, microphones, presentation playback and technical support.

Our teams can coordinate the technical delivery across the full programme, so speakers, presentations and room changes are managed as part of the same event rather than as separate setups.

Presentations and speaker support

Presentations sit at the centre of most conferences, and they are also one of the areas where small issues become very visible.

Our video teams can manage presentation files, playback, screen outputs and confidence monitors throughout the programme.

For conferences with multiple speakers or content arriving throughout the day, presentation management can be built into the production from the start.

Speaker rehearsals and technical checks can also be scheduled before the room opens, giving presenters time to get comfortable with the stage, microphones and screens.

Audio for presentations, panels and audience Q&A

Conference audio is mainly about making sure everyone in the room can clearly hear what is being said.

Keynotes, panels, fireside conversations and audience questions all need slightly different setups.

Our audio teams work around the venue, seating layout, room acoustics and programme, with lectern, handheld, lapel and headset microphones available depending on how speakers will be presenting.

LED screens, projection and supporting displays

There is no single screen setup that works for every conference.

Projection can work well in a traditional conference environment. High-resolution LED may form part of a wider stage design. Supporting displays can improve sightlines in larger spaces, while breakout rooms may only need individual screens.

The choice comes down to the room, the audience and the content being shown.

For larger spaces, live camera feeds can also sit alongside presentation content so delegates further from the stage still have a clear view of speakers and panel discussions.

Cameras, recording and event capture

Cameras can support the live event as well as what happens afterwards.

They can bring speakers onto the main screens, support panel discussions, provide feeds for remote audiences or record sessions for later use.

Creative Technology can provide focused camera coverage or a wider multi-camera production depending on the programme.

Our Creative Services team can also capture interviews, highlights and additional footage for internal communications, social content, marketing or post-event films.

Remote speakers and hybrid audiences

A speaker does not always need to be physically in the room.

Remote speakers, panellists and audiences can be brought into the programme using video, audio, presentation feeds and streaming systems managed alongside the in-room production.

This can be particularly useful for international speakers, company-wide conferences and events bringing together teams across several locations.

The aim is to make the remote contribution feel like part of the conference rather than a separate technical element.

Content designed for the event

Creative Technology has an in-house Creative Services team working alongside Live Events.

For conferences, that can include opening films, motion graphics, speaker content, presentation assets, holding screens, stings, animated backgrounds and video developed specifically for the screen format being used.

Having the creative and technical teams working together also means unusual LED canvases, wide screens and multi-screen setups can be considered while the content is being developed.
